Exporting and Downloading Exchange Online Mailbox Items, Folders or Messages

Applies to: User Mailbox, Journal Mailbox, ContentStore Mailbox

You can export mailbox items, folders, or messages to an export set, change the format of the items to fit your needs, and download the exported PST or CAB file. Exporting automatically creates an export set.

The following file formats are supported when you export email messages:

  • PST (Portable Storage Table)

  • CAB (cabinet file)

By default, the maximum amount of data that you can export to PST or CAB is 25 GB. The size limitation applies to the total size of emails exported from the Office 365 app and does not apply to exports from Compliance Search or Case Manager.

When the size of the data to export exceeds 25 GB, the export job does not start and an error message appears. You can use the restore option or split the data into smaller export jobs.

When multiple mailboxes are exported to a PST file, all the emails are exported from all the mailboxes into a single PST file. You can export emails from multiple mailboxes into separate PST files.

Important

To export email data, you will need a Windows Web Server. Exporting email data is not supported on Linux Web Server.

Before You Begin

  • The user must have Browse, Download, In place restore, and Out of place restore permissions on the subclient where the Exchange mailbox is configured in the CommCell Console.

  • Archive operations must have run on the mailbox.

  • You must install Microsoft Outlook 64-bit on the Web Server.

  • You must install and use Microsoft Office 2013 or any 64-bit versions of Microsoft Outlook. Click-to-Run edition is not supported and will not be launched by the controller.

  • You must install Microsoft Office 2013 Service Pack 1. For more information, see Description of Microsoft Office 2013 Service Pack 1 (SP1).

Procedure

  1. From the navigation pane, go to Protect > Office 365.

    The Office 365 Overview page appears.

  2. On the Apps tab, click the app.

    The Overview page of the app appears.

  3. On the Mailboxes tab, select a mailbox or All public folders, and then at the right area of the page, click Restore > Restore messages.

  4. From the list, select the items that you want to restore.

    You can use the Search bar to filter mailbox contents and find the items you want restore.

    To include deleted items in the export file, click the action action_button button, and then select Include deleted items.

  5. At the top of the page, click Export.

    The Export options dialog box appears.

  6. In the Export Name box, enter a name for the export set.

  7. If you selected individual messages, beside Selection Range, select the email messages to include in the export set:

    • To include only the selected email messages, click Selected emails only.

    • To include all emails, select All emails without the sub-folders.

  8. Beside Export type, select CAB or PST.

  9. Beside File format, select EML or MSG.

  10. To maintain the folder hierarchy in the exported file, under Advanced select Retain folder hierarchy.

  11. Click Export.

    A job runs to create the export set.

Viewing and Managing Exports

  1. In the upper-right corner of the page, click View exports.

    The View exports dialog box appears. The export files that are ready to be downloaded and the export files that are being created appear in a list.

  2. To edit the retention period for an export file, modify the default settings:

    1. In the row for the export file, click the Expires on date.

      The Edit retention dialog box appears.

    2. Select infinite retention or a specific date to end retention, and then click Submit.

  3. To view the items that failed, select the check box for the export set, click the action button action_button, and then select View failed items. The failed items can be resubmitted for export.

  4. To download the export file, select the check box for the export set, click the action button action_button, and then click Download.

    When mailboxes are exported, the folder hierarchy is maintained in the export set.

    You must import the PST file into Outlook to view the contents of Contacts, Calendars, and Notes inside Outlook. These items are not visible if you just open the PST file from Outlook.
