Notifications are sent to end users when the following conditions are met:

When a mailbox exceeds 90 percent of its quota, a warning is sent.

When a mailbox exceeds its quota, an alert is sent.
The content of the notifications is predefined, but you can change the content to suit your business need.
When you change the body content of the notifications, you can use variables and HTML links.

The available variables are:

<UserMailbox>: The recipient's mailbox name.

<SubclientQuota>: The backup storage quota (limit) that applies to the mailbox.

<CurrentUsage>: The amount of backup storage currently that is currently used to back up the mailbox.

<Percent>: The percentage of the quota that is currently consumed to back up the mailbox.

<ServiceAccountMailbox>: The account name from which the notification email is sent.

HTML links are entered in the format http://<URL>.
You can include the URL to the My Archive Quota report in the body of these notifications so that the end user can view the report directly. If the Single Sign On (SSO) is enabled for the domain, then the end user does not have to enter credentials to see the report.
Procedure

From the CommCell Browser, expand Client Computers > client > agent > backup_set.

Right-click a subclient, and then click Properties.
The Properties dialog box appears.

On the General tab, select the Mailbox Quotas (based on media usage) check box.

Click the Customized Messages tab.

Type new content in the Subject and Body boxes in either of the following areas:

Mailbox near storage quota message.
This message is sent when the mailbox reaches 90 percent of the quota.

Mailbox over storage quota message.
This message is sent when the mailbox reaches 100 percent of the quota.
The Subject content can be up to 256 characters, and the Body content can be up to 5000 characters.
