Backup E-Mails from Specific Time Period

You can back up e-mails from a specific time period to be retained for larger time. This can be useful for compliance and legal purposes. Use the steps below to backup these e-mails for longer retention.

  1. From the CommCell Browser, right-click the Client Computers and click New Client | Reference Copy.

  2. Enter a name for the client in Client Name box and select:

    • Select OS Type as Windows

    • Select Exchange from Configure Agents.

  3. Navigate to the newly created placeholder client and right-click the default Subclient and click Properties.

  4. Click the Reference Copy Contents tab and specify the following to select subclient content between a specified time:

    • Backup Start Time

      Enter a time from which the backed up data satisfying the applied filters will be used.

      Note

      Once a backup is run, the From Time cannot be modified.

    • Select Backup End Time and enter a time. This will be the time up till which all backups would have completed for the associated client/client group.

  5. Select Add from Filter Criteria and choose From filter.

  6. Enter * in the textbox to include all emails satisfying the backup time to be includes as your backup content.

  7. Select the Associations tab and choose Client(s) or Client Computer Groups from which emails will be included as subclient content.

    The filters specified in the Content tab will be applied to the Clients/Client Groups selected here.

    Note

    You may also view the selections made at the Content and Associations tab by clicking on the Preview tab.

  8. Click the Preview tab to view the data that will be backed up by using the associated clients or client groups.

  9. Click the Storage Device tab and select a Storage Policy name.

  10. Click the Retention tab and enter a value for Older than days based on modified time.

    This will retain the e-mails for the number of days specified here.

  11. Click OK to add contents to the subclient.

Backup E-Mails from Specific Time Period and Sent to Specific Recipient

You can backup e-mails from a specific time period and sent to a specific recipient to be retained for larger time. Use the steps below to backup these e-mails:

  1. From the CommCell Browser, right-click the Client Computers and click New Client | Reference Copy.

  2. Enter a name for the client in Client Name box and select:

    • Select OS Type as Windows

    • Select Exchange from Configure Agents.

  3. Navigate to the newly created placeholder client and right-click the default Subclient and click Properties.

  4. Click the Reference Copy Contents tab and specify the following to select subclient content between a specified time:

    • Backup Start Time

      Enter a time from which the backed up data satisfying the applied filters will be used.

      Note

      Once a backup is run, the From Time cannot be modified.

    • Select Backup End Time and enter a time. This will be the time up till which all backups would have completed for the associated client/client group.

  5. Select Add from Filter Criteria and choose To filter.

  6. Enter recipient name or email address in the textbox to include all emails sent to the recipient(s) and satisfying the backup time to be includes as your backup content.

  7. Select the Associations tab and choose Client(s) or Client Computer Groups from which emails will be included as subclient content.

    The filters specified in the Content tab will be applied to the Clients/Client Groups selected here.

    Note

  8. Click the Preview tab to view the data that will be backed up by using the associated clients or client groups.

  9. Click the Storage Device tab and select a Storage Policy name.

  10. Click the Retention tab and enter a value for Older than days based on modified time.

  11. Click OK to add contents to the subclient.

Retain E-Mails with Larger Size for Shorter Time

You can backup large size e-mails and retain them for a shorter period of time. Use the steps below to backup these e-mails:

  1. From the CommCell Browser, right-click the Client Computers and click New Client | Reference Copy.

  2. Enter a name for the client in Client Name box and select:

    • Select OS Type as Windows

    • Select Exchange from Configure Agents.

  3. Navigate to the newly created placeholder client and right-click the default Subclient and click Properties.

  4. Click the Reference Copy Contents tab and specify the following to select subclient content between a specified time:

    • Backup Start Time

      Enter a time from which the backed up data satisfying the applied filters will be used.

      Note

      Once a backup is run, the From Time cannot be modified.

  5. Select Add from Filter Criteria and choose Mail Size filter.

    Select Greater than or Equal To, type 10 and select MB. This will filter out all emails greater than or equal to 10MB on the selected mailbox to be included as subclient content.

  6. Select the Associations tab and choose Client(s) or Client Computer Groups from which emails will be included as subclient content.

    The filters specified in the Content tab will be applied to the Clients/Client Groups selected here.

  7. Click the Preview tab to view the data that will be backed up by using the associated clients or client groups.

  8. Click the Storage Device tab and select a Storage Policy name.

Specify Multiple Content Filters for Backing Up E-Mails

You may specify multiple content filters to back up emails specifying multiple filter criteria for longer period of time. Use the steps given below to do so:

  1. From the CommCell Browser, right-click the Client Computers and click New Client | Reference Copy.

  2. Enter a name for the client in Client Name box and select:

    • Select OS Type as Windows

    • Select Exchange from Configure Agents.

  3. Navigate to the newly created placeholder client and right-click the default Subclient and click Properties.

  4. Click the Reference Copy Content tab.

  5. Select Add from Filter Criteria and select the following filters:

    • From

      Enter the name or e-mail address of the sender

    • To

      Enter name or email address of the person or group to which the mail was sent.

    • Importance

      Select an importance level for the e-mail(s), e.g. high, low, normal.

    • Has Attachments

      Select or clear Has Attachments to include or exclude emails with attachments.

  6. Select the Associations tab and choose Client(s) or Client Computer Groups from which emails will be included as subclient content.

    The filters specified in the Content tab will be applied to the Clients/Client Groups selected here.

  7. Click the Preview tab to view the data that will be backed up by using the associated clients or client groups.

Data Retention in Reference Copy

Reference copy retention works in accordance with parameters setup at both the subclient and storage policy levels.

At the subclient level, the number of days retention specified will be applied to each object during synthetic full jobs. The items that are not aged are carried forward to the next cycle.

Storage policy level settings do not apply to the latest cycle. These settings apply to older cycles only. The latest cycle will always be retained until the subclient is deleted.

By default, a reference copy job honors 1 cycle /1 day retention.

Additional Operations

View Details of a Job

You can view detailed information about a reference copy job, such as how many subclients were configured to be backed, how many succeeded, and how many failed. It also provides complete status of each subclient, with details like the client and the backupset to which it belongs, status of the job, and failure reasons.

To view the details of a job:

  1. In the CommCell Browser, right-click the reference copy client > View > Job History.

  2. Click OK.

  3. From the Job History window, right-click the job > View Job Details.

  4. The Job Details dialog box shows detailed job history.

  5. Navigate to the Status tab to view the details on each subclient that was backed up using the reference copy job.

  6. Click OK.

Job Summary Report

Job Summary Report displays information related to all backup jobs for the selected clients and agents in the CommCell group. You can use this report to:

  • Monitor the overall health of backup jobs in the CommCell group.

  • Help troubleshoot backup errors and keep track of specific object types in backup jobs.

  • View detailed information, such as the failed objects included or objects that were filtered from a single job.

Use the steps below to generate a report for your reference copy clients. However, for more detailed information on this report, see Job Summary Report.

  1. On the CommCell Console menu bar, select the Reports tab, and then click the button for the report that you want to run.

    The Report Selection dialog box appears.

  2. From the Reports pane, select Job Summary.

  3. Browse to the Selection tab, and then select Include Reference Copy Job Details under the Advanced section.

  4. Click Run.

    The report appears in your default Web browser.
