When You Can Perform Backups

  • On a schedule: The backup plan that you assign manages scheduled backups

    For new customers who onboard after April 19, 2024, two schedules are created for each Microsoft 365 Backup Plan during the onboarding process. Existing customers will continue to use the same single schedule. The two new schedules work as follows:

    • Schedule 1: A backup job for items that do not meet SLA runs once every 8 hours. The job commits after 32 hours. All items that were never backed up or backed-up items that are older than 30 days are included in the backup.

    • Schedule 2: A backup job for items that meet SLA but were not recently backed up runs once very 8 hours. The job commits after 22 hours. All items that are more than 17 hours old and less than 30 days old are included in the backup.

  • On demand: You can perform on-demand backups at any time

Restores

Backups You Can Use for Restores

  • The most recent backup: For example, restore the most recent backup to its original location

  • A backup from a specific date: For example, restore data to a point in time before it became unusable

  • Backups from a date range: For example, restore data that was accidentally deleted

Microsoft Purview labels associated with the original content are retained during restore.

Destinations You Can Restore To

  • The current location (in place)

  • A different folder of the same user (out of place)

  • A different OneDrive user (out of place)

  • A different OneDrive for Business app (out of place)

Considerations

  • Performance of backup and restore operations depend on the ability of Microsoft APIs to discover, access, and read data. This can be affected by large numbers of OneNote file items.

  • Items that are protected by Microsoft's Data-Loss Prevention (DLP) policies cannot be backed up. If you wish to back up these items, please edit the criteria of the DLP policy or delete the policy. Items protected by the DLP policy will have a DLP Policy Symbol symbol next to the file name, in the Name column.

  • Configure lifecycle management for the Azure storage account that stores job metadata to help reduce storage costs. Create the following lifecycle management rules:

    Important: Configure the lifecycle rule to apply only to blobs that have the tag M365JobMetadata=true. Do not apply these actions to blobs that do not have this tag.

    • Delete non-current blob versions after 7 days.

    • Enable container soft delete and set the retention period to 7 days.

    • For block blobs and base blobs that have the tag M365JobMetadata=true:

      • Move blobs to the Cold tier after 7 days since the last modification.

      • Delete blobs after 97 days since the last modification.

Supported Regions

Region Description
Default Global Region The default global version for enterprise, Business Essentials, and academic Microsoft 365 tenants.
GCC Cloud Region For U.S. federal, state, local, and tribal governments, and contractors that process data on behalf of the U.S. government.
GCC High Cloud Region For the U.S. Department of Defense (DoD) and contractors that process DoD controlled unclassified information (CUI).

Authentication

Modern authentication is used to access data for backups and restores.

Autodiscovery of Users

By default, autodiscovery runs every 24 hours to update users and user groups from the Azure AD.
