Exporting and Downloading Mailbox Items, Folders or Messages

Applies to: User Mailbox, Journal Mailbox, ContentStore Mailbox

You can export mailbox items, folders or messages to an export set, change the format of the items to fit your needs and download the exported PST or CAB file directly to your browser window. Exporting automatically creates an export set.

The following file formats are supported when you export email messages:

  • PST (Portable Storage Table)

  • CAB (cabinet file)

The default maximum size of export to PST or CAB is 25 GB. The size limitation applies to the total size of emails exported from the Exchange client and does not apply to exports from the Compliance Search or the Case Manager.

Note

  • When the export size exceeds 25GB, the export job does not start and an error message occurs. You can use the restore option or split into smaller exports and retry.

  • When multiple mailboxes are exported to a PST file, then all the emails are exported from all the mailboxes into a single PST file. If you want to export emails from multiple mailboxes into separate PST files, see Restoring Messages to a PST File Using Exchange Mailbox.

  • By default, export sets have a retention period of 30 days, after which they are automatically pruned and the data in the export set is no longer available.

Before You Begin

  • The user must have Browse, Download, In place restore and Out of place restore capability on the subclient where the Exchange mailbox is configured in the CommCell Console.

  • Archive operations must have run on the mailbox.

  • You must install Microsoft Outlook 64-bit on theWeb Server.

  • You must install Microsoft Office 2013 Service Pack 1. For more information, see Description of Microsoft Office 2013 Service Pack 1 (SP1).

Procedure

  1. In the navigation pane, go to Protect > Applications > Exchange.

    The Exchange page appears.

  2. In the App name column, click the app that contains the item that you want to restore.

    The app page appears.

  3. On the Mailboxes tab, do the following:

    1. To export all mailboxes in the app, select the checkbox for all the mailboxes, click Restore, and then click Restore messages.

    2. In the row of the mailbox that contains the item that you want to restore, click Restore, and then click Restore messages.

      The mailbox contents appear.

  4. You can export all mailboxes, a selection of mailboxes, a folder or messages:

    • To include deleted items in the export file, click the action action_button button, and then select Include deleted items.

    • To export all mailboxes, do the following:

      1. In the left pane, select the checkbox for the app.

      2. Click the action Exporting Exchange Online Mailbox or Folders or Messages (1) button, select Export, and then select the file format.

    • To export a folder or a sub-folder, do the following:

      1. In the left pane, expand the mailbox, and then click the folder or the sub-folder.

      2. Click Export, and then select the file format.

    • To export messages, do the following:

      1. Either expand folders to navigate to the messages, or in the Search box, enter search terms in the search filter list.

        For example, enter inbox for the Folder filter.

      2. Select the check boxes for the messages.

      3. Click Export, and then select the file format.

    The Export to dialog box appears.

  5. In the Name box, type a name for the export set.

  6. If messages are selected, next to Selection Range, select the email messages to include in the export set:

    • To select the selected email messages, click Selected.

    • To select all the emails in the search results, select All.

  7. Click Submit.

    A job runs to create the export set.

  8. In the upper-right corner of the page, click View exports.

    The View exports dialog box appears. The export sets that are ready to be downloaded and the export sets that are being created are listed.

  9. To download the export set, select the check box for the export set, click the action action_button button, and then click Download.

    Note

    When mailboxes are exported, the folder hierarchy is maintained in the export set.

  10. To delete an export set, select the check box for the export set, click the action action_button button, and then click Delete.

    The message Selected exports deleted successfully confirms the deletion.

  11. To edit the retention period for an export set, do the following:

    1. In the table heading row, click the Column Settings button Sharing a Mailbox or a Folder Using Exchange Mailbox (1), and then add the Retention (in days) column.

      The Retention (in days) column is added to the table.

    2. Click the action action_button button, and then click Edit retention to change the value.

      The default retention is 30 days and can only be extended by 30 more days.

    3. Select a specific date to retain until, and then click Save.

  12. To view the items that failed, select the check box for the export set, click the action button Sharing a Mailbox or a Folder Using Exchange Mailbox (1), and then select View failed items.The failed items can be resubmitted for export.

  13. To include chain of evidence reporting in the downloaded zip file, click Download Manifest. The Download Manifest option includes a digital signature (MD5 digital hash) and all of the content files and email messages in the export set.

    You can only view or download the manifest when the status of the item in the export set is Available for Download.

    You must import the PST file into Outlook to view the contents of Contacts, Calendars, and Notes inside Outlook. These items are not visible if you just open the PST file from Outlook.
