Archiving Files in Sensitive Data Governance

At the data source level, you can run an archiving operation to regain disk space on a file server. When you archive files, a request is sent to a reviewer and an approver. The request must be reviewed and approved before the files are archived. After the request is reviewed and approved, the archiving operation backs up the files, and then deletes the files from the source file server.

When you run an archiving operation, you can use an existing archive plan, or you can create an archive plan. The data is backed up to the storage location that is specified by the archive plan.

Before You Begin

By default, archiving operations exclude *.dll, *.bat, *.exe, *.cur, *.ico, *.lnk, *.a, *.ksh, *.csh, *.sh, *.lib, and *.so files. However, these files are included in counts of the number of files that will be archived, which you might see when specifying the archive operation.

Procedure

  1. From the navigation pane, go to Activate.

    The Activate page appears.

  2. Under Data Governance, click Sensitive data governance.

    The Sensitive data governance page appears.

  3. Under Projects, in the Name column, click the project that has the data source that you want to archive.

    The project dashboard appears.

  4. Below Datasources, click a data source.

    The data source dashboard appears.

  5. On the Review tab, select the files to archive.

    If the data source is a NetApp that has file monitoring enabled, file monitoring information is available in the right pane.

  6. On the Dashboard tab, in the upper-right corner of the page, click Archive files.

    The Archive files dialog box appears.

  7. Specify when and on which subclient or archive set to run the archiving operation:

Steps

Run the operation immediately on the ActivateArchive subclient that was created under the ActivateArchiveSet.

  • For Select archive type, select Immediate.

Run the operation immediately, on a new user-defined subclient.

  1. For Select archive type, select Scheduled.

  2. Move the Run job immediately toggle key to the right.

Run the operation on a schedule, on a subclient that you specify.

  1. For Select archive type, select Scheduled.

  2. Next to Subclient name, enter a name for the new subclient that will be created for scheduled archiving operations.

    You cannot enter the name of an existing subclient. To view the existing subclients, click Check existing subclients.

    Note

    If the archiving operation frequency is greater than the data collection operation frequency, then the archive jobs are marked as Completed With Errors (CWE) and the files that are already deleted are marked as failure items.

  1. From the Plan list, select the archive plan use for the archive operation.

  2. Optional: Add reviewers and approvers to the review request:

    1. On the Reviewers tab, in the Assign reviewers box, enter the names of the users who will review the request.

    2. On the Approvers tab, in the Assign approvers box, enter the names of the users who will approve the request.

      To have the person creating the request also approve the request, leave the Assign approvers box empty.

    The users who you add as reviewers and approvers receive an email with instructions about how to review and approve items in the request. The request must be reviewed and approved before the files are archived.

  3. Click Submit.
