Case Manager

Compliance officers can use Case Manager to collect data from Exchange mailboxes, file servers, and laptops, and then search the collected data for electronically stored information (ESI).

How Case Manager Works

When there is a request for ESI, a compliance officer can use Case Manager to collect the relevant data into a set, called a case. When creating a case, the compliance officer can specify any of the following information:

  • The persons of interest in the case, called custodians

  • Which data, called assets, owned by the custodians, to include in the case

  • Other compliance officers, called reviewers, who can view, search, and edit the case

  • Additional criteria to increase the relevance of ESI in the case

  • Data from an existing review set to include in the case

After a case is created, compliance officers and reviewers can search the data collected in the case from Case Manager.

  • Exchange journal mailboxes (Exchange journaling)

  • Exchange SMTP Contentstore mailboxes (SMTP journaling)

  • Exchange Online

  • File servers

  • Laptops

  • Legacy Exchange Compliance Archiver Agent

  • Legacy File System Agent


    Exchange Compliance Archiver Agent and File System Agent data backups must be complete and content indexed.

Retention of Case Data

By default, data in the case is retained indefinitely until the case is deleted. Retention rules defined in the Exchange plan do not apply to Case Manager.
