Content Indexing Messages Using the Exchange Mailbox Agent

To search the contents of archived messages in Commvault search environments such as Web Console, Compliance Search, and ContentStore Email Viewer, the archived messages must be content indexed.

Following are the two levels of indexing available:

  • Basic indexing: This level enables search on attributes of an archived item such subject, recipients, attachment name. The content of the message and attachment is not indexed by default. This is achieved by running an archive/backup job and there is no need to run content indexing job. On-demand previews are recommended for Web Console, end user search and compliance search .
  • Advanced Content indexing: This level enables search on attributes of an archived item such subject, recipients, attachment name , and also provides content searching (message body & attachment), access to offline previews, if needed ,also runs content indexing job.

Content Indexing Previews

Content Indexing pre-generate previews:

When previews are configured to be created during content indexing, an HTML copy of each item in the content indexing job is created and stored. When a user clicks an item from a search interface, the preview stored is sent to the search interface. This configuration results in faster previews from search interfaces, but consumes disk space and increases the amount of time it takes content indexing jobs to complete.

Note: Pre-generate previews are recommended for Outlook Add-in ContentStore.

Content Indexing On-demand previews:

When previews are configured to be created on-demand, no previews are created during content indexing jobs. Instead, whenever a user clicks an item from a search interface, the data is temporarily restored from backup media to the Search Engine where an HTML preview is created and then sent to the search interface. This configuration increases the amount of time it takes for previews to appear in the search interface, but no space consumed by previews and decreases the amount of time it takes for content indexing jobs to complete.

You can run a content indexing job separately from an archiving job.

Procedure

  • Each access node that is used to run content indexing jobs must have the Exchange package installed and the Web Server installed. If you did not install the Web Server when you installed the Exchange package, you can install it separately. For more information, see Installing the Web Server.
  • You must enable content indexing.
