Adding File System Data Sources to a Project

You can add file system data sources to a project.

Important: Only the entities that are defined in the data classification plan associated with the project are discovered in the data sources. For more information, see Creating Data Classification Plans.

Before You Begin

When selecting a server as a data source, the amount of information that you are required to enter depends on the status of the file server and whether the data is protected or not protected:

Content indexed

A file system agent is installed on the server, and content indexing is enabled.

You can choose content indexed data or unprotected local data as the data source.

  • If the data is content indexed: Country where the server is located.
  • If the data is unprotected:
    • Country where the server is located.
    • Directory path to the data on the server you want to analyze.

Agent installed

A file system agent is installed on the server, and content indexing is not enabled.

You can choose backed up data (if backup jobs were run) or unprotected local data as the data source.

  • If the data is backed up: Country where the server is located.
  • If data is unprotected:
    • Country where the server is located.
    • Directory path to the data on the server you want to analyze.

Agent not installed

A file system agent is not installed on the server, so the data is unprotected.

You can add a UNC path as the data source.

 

  • Country where the server is located.
  • UNC share path to the data you want to analyze.
  • User name and password with read access on the UNC share path.

Procedure

  1. Open Sensitive Data Analysis as follows:
    1. From the navigation pane, expand Solutions, and then click Governance Apps.

      On the Governance Apps page, click Sensitive Data Analysis.

  2. In the in the project name row of the table, click the Actions button action_button, and then click Details.
  3. On the project name page, under Data Sources in the upper right, click Add > File System.

    The Add File Server page appears.

  4. In the Select File Server step, select the check box next to the server name you want to configure.

    Tip: To refine the list, you can perform the following actions:

    • Select one or more facets to the left of the server list.
    • Perform a keyword search on the name, domain name, operating system, hostname, or any field in the list.
    • Control pagination with the controls at the bottom of the table.
  5. Click Next.
  6. If an agent is installed, in the Configuration step, do the following:
    1. In Display Name, enter a name for the server.
    2. Click the Country Name list, and then select the country where the server is located.
    3. Determine the type of data to use:
      • To use the data collected from a content indexing job or a back up job, click Import from ContentStore.

        Note: This operation includes all of the content indexed data or all of the backed up data from the server. The backup sets associated with the data are listed.

      • To crawl data from a local directory that is not content indexed or backed up, click Local directory crawl, and in the Directory path box, enter the path to the data on the server you want to analyze.

        Tip: You can click Browse to view the file system of the server and select the path you want to crawl from the file system view.

  7. If an agent is not installed, in the Configuration step, do the following:
    1. In Display Name, enter a name for the server.
    2. Click the Country Name list, and then select the country where the server is located.
    3. In User name and Password, enter the credentials of a user with read access to the server.
    4. In Directory Path, enter the UNC path to the data on the server you want to analyze.
  8. Click Save.

    The server appears under the Data Sources table.

What to Do Next

After creating a project and defining data sources, you can create request to manage user requests export or delete data that contains PII.

Tip: After you add the data source to the project, Governance Apps begins a data collection job to crawl and analyze the data in the data source. If at a later time you want to update the data collected from the data source, you can run a full or incremental data collection job from the data source details page.
