Options Available when Editing a Case

When editing an existing case in Case Manager, you can modify the following options:

Basic Details

Label Description
Name The name of the case as it appears in Compliance Search.
Number Use this box to assign a number to the case for your record keeping needs.
Notes Use this box to enter a description of the case. What you enter will be visible to anyone who can access this case.

Custodian Data Source

Label Description
Custodians Use this list to add custodians to the case. A custodian is a user whose data can be collected and searched in the case. You can enter CommCell users or user groups, Active Directory users or user groups, or email addresses to add custodians to the case.

Note: If custodians are removed from a case, then their data will be aged as follows:

  • If Create a legal copy is selected, case data will be pruned according to retention settings of the storage policy associated to the case.
  • If Create a legal copy is not selected, data will be pruned according to the storage policy associated to the asset’s backup source.
Data Source Use this list to add data you want to collect in the case.

Note: When editing a case, you can only add data sources. You cannot clear previously selected data sources.

Non Custodian Data Source

The following options are only available when the Create a legal copy check box is enabled for collecting journal email data.

Label Description
Review Set Use this list to include data from a new or existing review set in this case. Any data in the selected review set that is owned by a custodian of the case and matches the selected data sources will be collected in this case.

Filter Criteria

The following options are only available when the Create a legal copy check box is enabled for collecting journal email data.

Label Description
Add Filter(s) Use this button to add the additional filter options to the Filter Criteria section.
Keyword Use this box to enter a keyword filter for the data collected in this case. Only data that matches the filter criteria will be included in the case.
Recipients Use this box to filter email data in the case based on recipients. Only data that matches the filter criteria will be included in this case.
Recipient Groups Use this box to filter email data in the case based on groups in the email recipients. Only data that matches the filter criteria will be included in this case.
Expand Select this check box to consider the users of an email group as individual recipients. When this check box is selected, email data that has the specified groups or an individual member of the group as a recipient will be included in this case.
Received Time Use this box to filter email data in the case based on when it was received by the custodians. Only data that was received by custodians between the dates in the From and To boxes will be included in the case.
From Use this box to select a start date for the Received Time filter. Only data received by the custodians after this date will be included in the case.
To Use this box to select an end date for the Received Time filter. Only data received by the custodians before this date will be included in the case.
Sampling Rate Use this box to specify the sample size of results for searches of the data in this case.

When a search is performed on a case with the Sampling Rate filter, only a portion of the total matching results (a sample) will appear in the search results list. For a given sampling rate value (r) and the total possible results of a search (t), then calculation used to determine the sample size (s) is:

r2 ÷ 10,000 x t = s

For example, if sampling rate value is 70, and the total possible results for a search is 50,000, then the calculation used to determine the sample size would be:

702 ÷ 10,000 x 50,000 = 24,500

So for a sampling rate of 70, a sample of 24,500 search results out of a total of 50,000 possible search results would appear.

Language For email data that contains non-English characters, use this box to select the type of writing system used in the email data.
File Modified Time Select this option to filter file system data based on a range of date-times for the last modified time.
File Size (in KB) Select this option to filter file system data based on a range of file sizes. Enter the range of file sizes in kilobytes (KB).
File Name Select this option to filter file system data based on keywords included in the file system name.

Reviewers

Label Description
Group or User Names Use this box to add or remove reviewers to the case. A reviewer is a user who can view and edit a case in Compliance Search. You can enter CommCell users or user groups, Active Directory users or user groups, or email addresses to add reviewers to the case.

Schedule

The following options are only available when the Create a legal copy check box is enabled for collecting journal email data. You can edit these options later.

Label Description
Enable Schedule Select this check box to schedule a backup of the case data on a regular basis.
Repeat Schedule Use this option to select how often you want the schedule to run.
Daily Use this option to run the schedule once each day.
Weekly Select this option to run the schedule once a week.
Days When Weekly is selected, use this option to specify the day of the week for the schedule to run.
Start Time Use this list to specify a time of day for the schedule to begin.
