Archiving Files in File Storage Optimization

Applies to: File system servers when data is analyzed from a live source

At the data source level, you can run an archiving operation to regain disk space on a file server. When you archive files, a request is sent to a reviewer and an approver. The request must be reviewed and approved before the files are archived. After the request is reviewed and approved, the archiving operation backs up the files, and then deletes the files from the source file server.

When you run an archiving operation, you can use an existing archive plan, or you can create an archive plan. The data is backed up to the storage location that is specified by the archive plan.

Note

After the archiving operation completes, the files are deleted even if you have selected the Replace the file with a stub option on the archive plan. The create stub operation is not supported for the File Storage Optimization archiving.

Procedure

  1. From the navigation pane, go to Data Insights.

    The Data Insights page appears.

  2. Under Risk Analysis, click File storage optimization.

    The File storage optimization page appears.

  3. On the Servers tab, next to the server name, click the down arrow down arrow (blue wide v).

    The data sources for the server appear.

  4. In the Data source name column, click the data source.

    On the Discover tab, the data source dashboard page appears.

  5. Select the files that you want to archive and delete:

    • To archive and delete a group of files, use a dashboard to give you the best view of the files:

      1. From the dashboard list, select a dashboard.

        For example, to archive and delete duplicate files, select the File duplicates dashboard.

      2. Use the dashboard tiles to filter the files.

        For example, to only archive and delete larger files, in the file ownership Size tile, select the Above 5 GB check box.

    • To select from a list of individual files, on the Review tab, select the files that you want to archive and delete.

      If the data source is a NetApp filer with monitoring enabled, file monitoring information is available in the right-hand pane.

    To specify advanced search criteria for selecting the files that you want to archive and delete, in the upper-right corner of the page, click Advanced search.

  6. In the upper-right corner of the page, click Archive files.

    The Archive files dialog box appears and lists the number of files and folders that will be archived and deleted.

    Note

    The archiving job excludes the *.dll, *.bat, *.exe, *.cur, *.ico, *.lnk, *.a, *.ksh, *.csh, *.sh, *.lib, and *.so files by default. However, the count for the total files qualified for archiving includes these files.

  7. In the Select archive type area, run the archiving job immediately or schedule it:

    • Immediate: The archiving job starts now on the default subclient ActivateArchive, created in the default archive set ActivateArchiveSet.

    • Scheduled: The archiving job runs according to the schedule that you defined in the archive plan.

      • Subclient name: Enter a name for the subclient.

        You cannot enter the name of an existing subclient. To view the existing subclients, click Check existing subclients.

        Note

        If the archiving job frequency is more than the data collection job, then the archive jobs are marked as Completed With Errors (CWE) and the already deleted files will be marked as failed items.

      • Run job now: To run the job immediately on the user-defined subclient, move the toggle key to the right.

  8. From the Plan list, select an archive plan.

  9. Optional: Add reviewers and approvers to the review request:

    1. On the Reviewers tab, in the Assign reviewers box, enter the names of the users who will review the request.

    2. On the Approvers tab, in the Assign approvers box, enter the names of the users who will approve the request.

      To have the person creating the request also approve the request, leave the Assign approvers box empty.

    The users who you add as reviewers and approvers receive an email with instructions about how to review and approve items in the request. The request must be reviewed and approved before the files are archived.

  10. Click Submit.
