Retrieving Messages to a Target Mailbox

You can browse and retrieve archived mail messages to a target mailbox. The Exchange Compliance Archiver Agent will create a new folder in the target mailbox, annotate and time-stamp it with the retrieval job reference and proceed to deposit all the contents of the retrieval within this new folder. Ensure that the storage limits are disabled before retrieving mail messages.

Procedure
  1. From the CommCell Browser, navigate to Client Computers > client > agent.

  2. Right-click the subclient, and then click Browse and Restore.

  3. Click View Content.

  4. Navigate to the required folder in the left pane.

  5. Select a message item from the right pane.

  6. Click Recover All Selected.

  7. Select the target mailbox to which the message will be restored.

  8. Click OK.

Retrieving Messages to a PST File

You can retrieve a mailbox, a message, or a mailbox item to a PST file.

The size of the PST file is limited based on the version of Microsoft Outlook that you use. For Microsoft Outlook 2007, the PST cannot be larger than 15 GB. For Microsoft Outlook 2010 or later, the PST file cannot be larger than 30 GB. If you try to retrieve a data set that is larger than the PST size limit, the retrieve will fail. You can choose to retrieve large data sets to multiple PST files that are less than or equal to the value that you define. These PST files cannot be larger than 45 GB.

When you browse protected messages, the file size represents the size of the mailbox, folder, or messages. If you retrieve messages as a PST file, the size of the PST file might be different than the browse size of the messages. Messages stored in a PST file usually take up more space than messages restored as data.

Procedure
  1. From the CommCell Browser, expand Client Computers > client > agent.

  2. Right-click the subclient, and then click Browse and Restore.

    The Browse and Restore Options dialog box appears.

  3. Click View Content.

  4. In the left pane of the Client Browse window, expand to a mailbox, message, or mailbox item, and then click Recover All Selected.

    The Restore Options for All Selected Items dialog box appears.

  5. Select To PST File.

  6. Type the path to the location where you want to retrieve the PST file, including the PST file name with the .pst extension.

    If you want to retrieve the PST file to a network location, type the UNC path to the location, including the PST file name with the .pst extension.

  7. If you want to retrieve a large data set to multiple PST files, select the Limit PST size to (GB) check box, and then enter a size value.

    The size limit cannot be greater than 45 GB.

  8. Click OK.

Finding and Retrieving

Use Find to search and locate messages from an archived mailbox. Find is available from a subclient, or by right-clicking a mailbox or message from a Browse and Recover operation.

You can enter up to 24 characters in the Sender and Recipient fields. You can enter up to 42 characters in the Subject field.

Procedure
  1. From the CommCell Browser, expand Client Computers > client.

  2. Right-click the agent, and then click All Tasks > Find.

    The Find Options dialog box appears.

  3. On the Filter tab, define the criteria for your search.

    Note

    If the criteria field that you want is not available, click Add, and then select the appropriate criteria name.

    • To narrow the search by a specific subject line, type the appropriate text into the Subject box.

    • To narrow the search by the name of the person who sent the message, type the name into the From box.

    • To narrow the search by the name of the person who received the message, type the name into the To box.

      When you search Public Folder data using the To criterion, only messages that were posted to mail-enabled Public Folders are searchable. If you want to search for posts made to a Public Folder, use the Subject or From criteria instead.

    • To narrow the search to messages received on the specified date or within the specified date range, select the appropriate range from the Time list.

      If you select Time Range, enter the appropriate range of time.

    • To narrow searches to messages that were backed up within the time period specified, click the Time Range tab, select Time Range, and then specify a time or time range

  4. Click View Content.

    The messages that match the criteria appear.

  5. To retrieve a message or mailbox item, right-click the appropriate message or mailbox, and then click Recover All Selected.

    The Recover Options for All Selected Items dialog box appears.

  6. Select To Mailbox, and then select the appropriate mailbox from the Target Mailbox list.

    Note

    If the mailbox alias name has changed, we strongly recommended that you retrieve archived messages out-of-place to the current mailbox alias name. Otherwise, attempting to retrieve the data in-place to a mailbox alias that no longer exists will cause the retrieve operation to fail.

  7. Click OK.

  8. Optional: You can save, email, or print the search results.

    1. In the upper right corner of the search results window, click the double down arrow, and then click Save, Email, or Print.

    2. If you select Email, enter the SMTP parameters (SMTP Host, To, From, Subject).

Performing an Out-of-Place Retrieval

You can restore the data to a different client. This operation is also called out of place restore. During this operation, the restored data inherits the permissions of the parent directory.

Procedure
  1. From the CommCell Browser, navigate to Client Computers > client > agent.

  2. Right-click the subclient, and then click Browse and Restore.

  3. Click View Content.

  4. Select an archived folder, a message, or an archived folder item from the Client Browse window and click Recover All Selected.

  5. In the Recover Options for All Selected Items dialog box, complete the following steps:

    1. Clear the Recover to Same Paths check box.

    2. In the Destination client list, select the client where you want to restore the data.

      Note

      The source and destination clients must be part of the same CommCell environment. The destination client must have the Exchange Compliance Archiver Agent located on it.

    3. In the Target Mailbox list, select the mailbox and select the Recover to Same Paths check box.

    4. Click OK.

Retrieving to a Different Exchange Server Version

When you perform a cross-application retrieval of Archived folders from a newer version of Exchange Server to an older version, it follows the same compatibility support provided by the Exchange Server, unless otherwise noted.

Procedure
  1. From the CommCell Browser, navigate to Client Computers > client > agent.

  2. Right-click the subclient, and then click Browse and Restore.

  3. Click View Content.

  4. Select an archived folder, a message, or an archived folder item from the Client Browse window and click Recover All Selected.

  5. In the Recover Options for All Selected Items dialog box, complete the following steps:

    1. Clear the Recover to Same Paths check box.

    2. In the Destination client list, select the client where you want to restore the data.

      Note

      The source and destination clients must be part of the same CommCell environment. The destination client must have the Exchange Compliance Archiver Agent located on it.

    3. In the Target Mailbox list, select the mailbox and select the Recover to Same Paths check box.

    4. Click OK.

Scheduling a Retrieval

Procedure
  1. From the CommCell Browser, navigate to Client Computers > client > agent.

  2. Right-click the subclient, and then click Browse and Restore.

  3. Click View Content.

  4. Select one or more archived folders in the left pane.

    The archived folder items (for example, calendars, journals, and so on) will be selected in the right pane.

  5. Click Recover All Selected.

  6. Click Job Initiation tab and click Schedule.

  7. Click Configure.

  8. Select the appropriate scheduling options. For example:

    • Click Weekly.

    • Check the days you want the run the restore job.

    • Change the Start Time to 9:00 PM

    The restore job runs according to the schedule that you created.

Managing Retrieval Jobs

Once you initiate the retrieval operation, a retrieval job is generated in the Job Controller. Jobs can be managed in a number of ways. The following sections provide information on the different job management options available.

Restarting Jobs

Jobs that fail to complete successfully are automatically restarted based on the job restartability configuration set in the Control Panel.

Caution

Changes made to this configuration will affect all jobs in the entire CommCell.

To configure the job restartability for a specific job, you can modify the retry settings for that job. This will override the setting in the Control Panel. It is also possible to override the default CommServe configuration for individual jobs by configuring retry settings when initiating the job. This configuration, however, will apply only to the specific job.

Note

Backup jobs for this Agent are resumed from the point-of-failure.

Configure Job Restartability at the CommServe Level
  1. From the CommCell Console ribbon, click the Home tab, and then click Control Panel.

  2. Under Data, click Job Management.

    The Job Management dialog box appears.

  3. Click the Job Restarts tab.

  4. From the Job Type list, select the appropriate item.

  5. Select the Restartable check box to make the job restartable.

  6. In the Max Restarts box, change the maximum number of times the Job Manager will try to restart a job.

  7. In the Restart Interval (Mins) box, change the time interval between attempts for the Job Manager to restart the job.

  8. Click OK.

Configure Job Restartability for an Individual Job
  1. From the CommCell Browser, navigate to Client Computers > client > agent.

  2. Right-click the subclient, and then click Browse and Restore.

  3. Click View Content.

  4. Select the data that you want to restore and click Recover All Selected.

  5. Click Advanced and select the Job Retry tab

  6. Select Enable Total Running Time and specify the maximum elapsed time before a job can be restarted or killed

  7. Select Kill Running Jobs When Total Running Time Expires to kill the job after reaching the maximum elapsed time.

  8. Select Enable Number Of Retries and specify the number of retries.

  9. Click OK.

Controlling Jobs

The following controls are available for running jobs in the Job Controller window:

Suspend

Temporarily stops a job. A suspended job is not terminated; it can be restarted at a later time.

Resume

Resumes a job and returns the status to Waiting, Pending, Queued, or Running. The status depends on the availability of resources, the state of the Operation Windows, or the Activity Control setting.

Kill

Terminates a job.

Suspending a Job
  1. From the Job Controller of the CommCell Console, right-click the job and select Suspend.

  2. The job status may change to Suspend Pending for a few moments while the operation completes. The job status then changes to Suspended.

Resuming a Job
  1. From the Job Controller of the CommCell Console, right-click the job and select Resume.

  2. As the Job Manager attempts to restart the job, the job status changes to Waiting, Pending, or Running.

Killing a Job
  1. From the Job Controller of the CommCell Console, right-click the job and select Kill.

  2. Click Yes when the confirmation prompt appears if you are sure you want to kill the job. The job status may change to Kill Pending for a few moments while the operation completes. Once completed, the job status will change to Killed and it will be removed from the Job Controller window after five minutes.

Several additional options are available to further refine your retrieval operations. The following table describes these options, as well as the steps to implement them.

Skip Errors and Continue

You can continue the restore job regardless of media errors and create a file that lists the full path names of the files that were not restored.

  1. From the CommCell Browser, click Client Computers > client > agent.

  2. Right-click the subclient that contains the data you want to restore and click Browse and Restore.

  3. In the Browse and Restore Options dialog box, click View Content.

  4. On the Client tab, select the data to be restored, and then click Recover all Selected.

  5. In the Recover Options for All Selected Items dialog box, click Advanced.

  6. On the General tab of the Advanced Restore Options dialog box, select the Skip errors and continue check box and click OK.

  7. In the Recover Options for All Selected Items dialog box, click OK.

Startup Options

The Startup Options are used by the Job Manager to set priority for resource allocation. This is useful to give higher priority to certain jobs.

Copy Precedence

By default, the system retrieves data from the storage policy copy with the lowest copy precedence. If the data was pruned from the primary copy, the system automatically retrieves data from the other copies of the storage policy in the lowest copy precedence to highest copy precedence order. Once the data is found, it is retrieved, and no further copies are checked.

You can retrieve data from a specific storage policy copy (Synchronous Copy or Selective Copy). If data does not exist in the specified copy, the data retrieve operation fails even if the data exists in another copy of the same storage policy.

  1. From the CommCell Browser, click Client Computers > client > agent.

  2. Right-click the backup set that contains the data you want to restore and click Browse and Restore.

  3. In the Browse and Restore Options dialog box, click View Content.

  4. On the Client tab, select the data to be restored, and then click Recover all Selected.

  5. In the Recover Options for All Selected Items dialog box, click Advanced.

  6. On the Copy Precedence tab of the Advanced Restore Options dialog box, select the Recover from copy precedence check box, enter the copy precedence number, and click OK.

  7. In the Recover Options for All Selected Items dialog box, click OK.

Data Path Options

The data recovery operations use a default library, MediaAgent, drive pool, and drive as the data path. You can use this option to change the data path if the default data path is not available.

Encryption

If the data on the client is encrypted with a pass phrase, you must enter the pass-phrase to start the data recovery operation.

Command Line Restores

You can perform backups or restore from the command line. The commands can be run from the command line or can be integrated into scripts.

You can also generate command line scripts for specific operations from the CommCell Browser using the Save As Script option.

CommCell Readiness Report

The CommCell Readiness Report provides you with vital information such as connectivity and readiness of the client, MediaAgent, and CommServe host. It is useful to run this report before you perform a backup or a recovery operation.

Restore Job Summary Report

The Restore Job Summary Report provides you with information about all the data recovery jobs that were run in last 24 hours for a specific client and agent. You can get information such as failure reason, failed objects, job options, and so on. It is useful to run this report after you perform the restore.
