Enabling Email Responses to Interact with Workflows


You can set up email properties to allow users interact with a workflow by responding to an email. For example, you can configure the UserInput activity to allow email responses.


  1. From the navigation pane, go to Developer tools.

    The Developer tools page appears.

  2. Click the Workflows tile.

    The Workflows page appears.

  3. From the All tasks list in the upper-right corner of the page, select Email Approval.

    The Email approval properties dialog box appears.

  4. Select the Enable email approval check box.

  5. Set up the following email information:

    • Email Server: The name of the email server.

      For example, enter smtp.companymailserver.com.

    • Mailbox: The email address of the mailbox that should receive the reply emails sent by the users.

    • Password: The password for the email account in the Mailbox.

    • Folder: The name of the email folder that is used to store the emails sent by the users.

      For example, enter Inbox.

      Tip: Create a new email folder specifically to hold the reply emails, and then create a rule in your email program to direct the reply emails to that folder. This is useful if you are reusing the mailbox of a valid user to receive emails instead of creating a new mailbox.

  6. Click Save.
