Configuring Preview Settings for Search Engines

You can configure previews to be created during content indexing jobs. Content indexing previews are copies of content indexed data in HTML format. Content indexing previews allow users to view the contents of data within search interfaces, such as Compliance Search, without restoring the original data. For example, in a preview, the content, attachments, meeting invitations, and conversation history associated with an email message are available.

If you choose not to create previews during content indexing jobs, previews are created on-demand when a user requests a preview from a search interface.

Note

To see previews of IBM Notes data or SharePoint data, you must configure content indexing previews. On-demand previews are not supported.

Content Indexing Previews

When previews are configured to be created during content indexing, an HTML copy of each item in the content indexing job is created and stored on the Search Engine. When a user clicks an item from a search interface, the preview stored on the Search Engine is sent to the search interface. This configuration results in faster previews from search interfaces, but consumes resources on the Search Engine and increases the amount of time it takes content indexing jobs to complete.

On-Demand Previews

When previews are configured to be created on-demand, no previews are created during content indexing jobs. Instead, whenever a user clicks an item from a search interface, the data is temporarily restored from backup media to the Search Engine where an HTML preview is created and then sent to the search interface. This configuration increases the amount of time it takes for previews to appear in the search interface, but decreases the space consumed by previews on the Search Engine index and decreases the amount of time it takes for content indexing jobs to complete.

Procedures

  1. From the CommCell Browser, click Storage Resources > Search Engines.

  2. Right-click the Search Engine, and then click Properties.

  3. On the Server Config tab, configure previews as follows:

    • To create previews during content indexing jobs, select the Generate Previews check box.

    • To create previews on-demand, clear the Generate Previews check box.

      Note

      This configuration only applies to data that is content indexed using this Search Engine.

  4. Click OK.

    Services on the Search Engine nodes are restarted automatically.
